Privacy Policy
Last updated: 4 November 2026
Axium (“we”, “us”) is a notes app for Android and Windows. This policy explains what we collect, why, who processes it, and the choices you have. Contact: support@axiumnotes.com.
What we collect
- Account: your email address and a password (stored hashed by our authentication provider).
- Your content: notes, folders, saved places, reminders, chat conversations, and files you add (photos, scans, PDFs, Office documents, voice recordings).
- Plan and usage: your subscription plan and how much of your daily AI allowance you have used.
- Device information needed for sync: a device identifier so your devices can stay in sync, and sign-in sessions.
Permissions on your device
- Microphone: to record voice notes.
- Camera, photos and files: to take, scan or attach pictures and documents. Quick photos you take stay on your device until you save them to a note.
- Calendar: to add events for dates found in your notes and to detect clashes.
- Notifications, alarms: to remind you.
- Location (including in the background): only for place reminders, such as “remind me when I leave home”, and for choosing places on a map. Place checks run on your device. We do not build a location history.
- Activity recognition: to help decide when you are leaving or arriving for place reminders.
- Fingerprint/biometrics: for the optional app lock. Biometric data never leaves your device.
How your data is used
- To provide the app: store your notes, sync them between your devices, and send reminders.
- To provide AI features when you use them: your message and any attached photo or document, and the voice recording or text you ask us to summarise, are sent through our server to AI providers to produce the answer.
- To manage plans and payments, enforce fair-use limits, and keep the service secure.
- We do not sell your data and we do not show ads.
Who processes data for us
- Supabase: database, sign-in and file relay hosting.
- OpenAI (Axium AI chat), Anthropic (summaries and document AI) and Groq (speech-to-text): process content only when you use an AI feature.
- Polar: payments for subscriptions. It handles your payment details; we never see your card number.
- Google Maps: map display and place search in the phone app.
- Cloudflare: our website and email forwarding.
Syncing and file relay
Notes sync between your devices through our server. Photos, documents and recordings are passed between your own devices and removed from the server once your devices have them, or after 30 days. Sync is not a backup: keep your own copies of anything important.
Retention and deletion
We keep your data while your account exists. You can delete your account in the app (Account → Delete account) or on our deletion page. Deleting removes your account, notes and files from our servers. Some records may be kept where the law requires it, such as payment records held by Polar.
Security
Data is sent over encrypted connections. The sign-in token on your device is held in secure storage. No online service is perfectly secure, so please use a strong password and the app lock.
Your rights
You can access, correct, export or delete your data. Use the app, or email us and we will help. If you are in the EU, UK or another region with data-protection law, you may also have the right to object to or restrict processing and to complain to your local authority.
Children
Axium is not directed at children under 13, and we do not knowingly collect their data.
Changes
If we change this policy in a meaningful way we will update the date above and tell you in the app.
